The client

A freight forwarding company managing cross-border loads, responsible for tracking shipments in transit and keeping dozens of clients updated on their cargo's status every single day.

The challenge

Every day, the client's operations manager was spending 3.5 to 4 hours on a single task: turning shipment paperwork into individual status reports for over 70 active clients.

The process looked like this:

  • A shipping manifest was manually typed up for every load that went out.
  • That manifest data then had to be manually re-entered into a master tracking spreadsheet.
  • From there, the relevant rows were manually copied into each client's individual tracking file, while carefully removing every other client's data to protect confidentiality.
  • Each client file then had to be opened individually to refresh linked data.
  • Finally, every file was attached to an email and sent out, one by one, every morning, for over 280 clients on the books.

With no backup for this role, the entire client communication pipeline depended on one person, every day, without fail.

The solution

We built an automated backend workflow that removes the manual work at every step:

  • When a new manifest is created, the system automatically extracts every line item.
  • That data is written straight into the master tracking sheet. No retyping required.
  • Each client's individual tracking file is automatically updated with only their own shipments, fully refreshed and ready to send.
  • A short daily summary is sent to the operations manager for a quick review and approval.
  • Once approved, every client automatically receives their personalized tracking update by email, and updates stop automatically the moment their shipment is delivered.

No new software to learn. No dashboards to manage. The files clients already receive look exactly the same. They just arrive without a single manual step behind them.
